Linking Sources to Issues and Calculating Net Paid

For the truly anal retentive among us (no offense intended <g>), I've added the ability for you to capture the tax and discount percents that apply where you purchase comics.  If you choose to, Realms will use these fields to calculate a Net paid amount on each of your issues.

Important:  If you have no interest in these fields, go to the Preferences window, choose the Disable Fields tab, and disable the three fields (Tax, Discount amd Net) that appear on the Issue Detail window.  Then everything will behave just as it used to.

For those of you that do decide to use these, over the next few months, I'll more fully incorporate the Net Paid field into various reports, etc.

Changes to the Issue Detail window

Changes to the Contact maintenance window:

There are three new fields on the Contact Maintenence window, as well as a Batch Update button and several related options.  To get information on any of the Net Paid Amount related fields, click on the field in the image above (or scroll down and find it yourself).

  1. Discount %

  2. Tax%

  3. Include in the Source Dropdown List on the Issue Detail window

  4. Update Net Paid Amounts Now button

  5. Update Issues with a blank Net Paid Amount vs. Update all issues

    5. Update Issues for the current source vs. all issues regardless of source

Discount Percent:

Enter the per cent discount you receive when you purchase comics from this contact/source.

Important: If you fill in a value here, Realms will use it in calculating the Net Amount Paid - Purchase Price minus discount (if entered) plus sales tax (if entered).

Enter this as a percent, without the percent sign - for example, enter a 10 to indicate 10%.

Tax Percent:

Enter the per cent sales tax added when you purchase your comics from this contact/source.

Important: If you fill in a value here, Realms will use it in calculating the Net Amount Paid - Purchase Price minus discount (if entered) plus sales tax (if entered).

Enter this as a percent without the percent sign - for example, if the state sales tax is 6%, enter a 6.

Include in the Source Dropdown List on the Issue Detail window:

Check this box, if you would like to include this contact/source in the Source drop down list box on the Issue Detail window.  Doing so will also enable Realms to use the Tax and Discount fields in calculating the actual amount paid.

Update Net paid Amount Now button:

Click this button if you wish to have Realms calculate the Net Paid field on your existing data.

Realms will select any issues that meet the specified criteria (blank Net Paid vs. all, and this Source vs. all), and then update the Net Paid Amount based on the tax and discount percentages entered on the currently active record.

If no tax or discount was applicable, but you would still like to fill in the Net Paid field (which will equal the Purchase Price in that case), leave the tax and discount blank, and click this button.

Update Issues with a blank Net Paid Amount vs. Update all issues:

By default, Realms will only update issues where the Net Paid Amount is blank.  If you wish to update all issues regardless of whether or not the Net Paid Amount is filled in, select the second option

Update Issues for the current source vs. all issues regardless of source:

By default, Realms will only update issues where the Comic Source is the same as the currently active record.
If you wish to update all issues regardless of the source, select the second option. This is convenient for getting the Net Paid Amount filled in for your entire collection. Be sure to enter the tax and discount that you want to use, if you select to update all (or leave them blank, if none applies).

By default, Realms will only add the image file path and name to issues where no primary image is already entered. In cases where you move or rename image files that where already linked to the issues, you may want to turn this on.

There are three new fields on the Issue Detail window related to the Net Paid Amount.  To get information on any of the Net Paid Amount related fields, click on the field in the image above (or scroll down and find it yourself).

  1. Actual Tax Amount Paid

  2. Actual Discount Amount

  3. Net Amount Paid

Actual Tax Amount Paid:

This field will display the calculated tax, based on the tax percent entered on the Contact Maintenance window for this Source/Contact (if it exists). If no tax percent is entered, this will remain blank.  You can enter this information manually as well. If you have no interest in these fields, go to the Preferences window and disable them.

Actual Discount Amount taken:

This field will display the calculated discount, based on the discount percent entered on the Contact Maintenance window for this Source/Contact (if it exists). If no discount percent is entered, this will remain blank.

You can enter this information manually as well. If you have no interest in these fields, go to the Preferences window and disable them.

Net Paid Amount

This field will display the calculated Net Paid Amount.  The Calculation is

Net Amount paid = Purchase Price + Tax Amount - Discount Amount.

If you enter the tax and discount percents on the Contact Maintenance window for each source of comics that you use, Realms will calculate these fields.  If no percents are entered, the tax and discount fields will remain blank and the Net Paid Amount will equal the Purchase Price.  You can enter or override this information manually as well. If you have no interest in these fields, go to the Preferences window and disable them.
